A PBX phone system is the call-control layer of a small business phone system. It decides which extension rings, how the main number behaves when everyone is busy, what callers hear out of hours, and whether a transfer lands with the right person. Customers still dial ordinary telephone numbers. Staff answer on desk phones, laptops or mobiles. The PBX sits in the middle and keeps the company journey intact.

What a PBX phone system is
PBX stands for private branch exchange. In plain English: a private switchboard for your organisation. Historically that meant a physical appliance with handsets wired or registered to it. Today the same job can run on a server you own, or as software hosted for you.
Three layers still have to line up:
- Call control — the PBX itself: DIDs, extensions, ring groups, queues, IVR, voicemail and time-of-day rules.
- Carrier path — usually a SIP trunk, plus the public numbers attached to it, connecting the PBX to the telephone network.
- Endpoints — IP desk phones, desktop softphones and mobile softphones that register to the system and present one business identity.
A polished app login is not a complete PBX phone system. VoIP is often how the voice travels; the PBX decides who rings; the trunk reaches the outside world; the handset or softphone is how a person answers. Score each layer separately when you compare options.
Hosted PBX, cloud PBX and IP phone systems — how the labels fit
Buyers hear hosted PBX, hosted phone system, cloud PBX, cloud phone system and IP phone system as if they were five different products. For most small businesses they answer overlapping questions.

On-premise can still fit when you have specialist IT or an installed base you are not ready to move. It remains your patching, backup and recovery problem. Hosted (cloud) PBX moves that ownership to a provider: you administer users and hours from a browser, and you are not babysitting a switch at the weekend.
An IP phone system can still be on-premise. A hosted phone system can still use physical IP desk phones. The distinctions that matter are operational: who patches the PBX, who owns the numbers and trunk, and whether a manager can change hours without a supplier ticket. What a small business needs on day one
Start from real journeys, not a feature catalogue. Write down the public numbers customers already know, who answers them, busy periods, and what happens when the main person is already on a call.
Most growing teams need:
- one business identity on the numbers customers already recognise;
- business-hours, holiday and out-of-hours behaviour a manager can edit the same day;
- ring groups or simple sequential routing, with a named overflow;
- voicemail that has an owner, not an orphan mailbox;
- hold, attended transfer and blind transfer on the devices people actually use;
- desktop and mobile calling for hybrid and field roles; and
- a tested fallback when the office broadband, a site or a person is unavailable.
Queues, deep IVR and supervisor wallboards earn their place when volume demands them. A five-person firm often needs a reliable ring group and prompt follow-up more than a contact-centre suite. Buy controls that protect the customer journey; expand later.
Numbers and identity. Keep the numbers customers already know, or confirm a temporary parallel number while you port. Outbound calls should present the company identity, not a personal mobile.
Admin model. Who adds users, changes hours, resets credentials and exports recordings? If only one person can change hours, holiday leave becomes an outage.
Desk phones, softphones and hybrid work
Endpoints are how people answer once PBX and trunk are decided. Choose by role, not by fashion.
Reception and shared desks often keep IP desk phones: physical keys, a handset visitors recognise, and a reliable presence on the main line. Hybrid and mobile staff need softphones that register to the same PBX and present the company number outbound. Desk phone plus softphone is a normal design for a PBX phone system — not a temporary compromise — provided both share one numbering and routing plan.

Hybrid work fails when the PBX is fine but the app is not. Test lock-screen ringing on mobile, headset behaviour on desktop, outbound caller ID under the business identity, and revoke access when someone leaves. Personal-number leakage — staff returning calls from their own mobiles because softphone setup was incomplete — fragments company identity.
Trunks, numbers and who runs what
A SIP trunk is how the PBX reaches the outside world. It is also, in most cases, how you keep control of numbers and call rates. Some designs bundle minutes into a seat; others expect you (or your ITSP/MSP) to bring a SIP trunk. Score against how you already buy connectivity.
Ask early:
- Who holds the DIDs — you, your ITSP, or the phone vendor?
- Who sets and invoices per-minute rates?
- Can you move the numbers if you change PBX later?
- Who patches and recovers call control — you, your MSP, or a hosted/cloud provider?
Capacity still matters. Concurrent calls are limited by channels and network headroom — see how many SIP channels you need before you assume marketing language means unlimited simultaneous conversations.
Call quality is a network problem as much as a product problem. Before cutover, prove intelligible audio on office Wi-Fi, home broadband and cellular under normal load, and fail the site-fallback path once on purpose while you still have time to fix it.

A practical trial checklist
Run a contained trial with people who actually answer the phone. Use temporary numbers so live service stays undisturbed. Agree pass/fail before day one.
- A customer-style call to the main number reaches the right person in a busy period.
- Unanswered calls follow a named overflow and land in an owned voicemail.
- Hold and both transfer types work on the headset or mobile each role uses.
- Outbound calls from laptop and mobile present the company number.
- Softphones register cleanly; locked-screen mobile ringing works with usable audio.
- Calls stay intelligible on office Wi-Fi, home broadband and cellular under normal load.
- A site-fallback path exists if office broadband fails — and you fail it once deliberately.
- A test starter registers and completes a two-way call the same day.
- A leaver loses registration, outbound identity and recording access in one controlled step.
- A non-specialist can change hours and a ring group without a supplier ticket.
Do not collapse trunk choice and PBX choice into one checkbox. A polished admin console cannot rescue unclear number ownership or an undersized trunk at peak hour.
